How to setup your Polycom Soundpoint IP 320 Phone

Getting Started

Unpack the phone components and cables and plug them together as follows 

Hint: If you cant find the cables, look in the compartment at the very bottom of the box!

  • Click the stand to the base unit.
  • Connect the handset using the curly phone cable.
  • Connect the Ethernet socket marked to one of the sockets on your router
  • Connect the Power Supply to the mains.

Basic Configuration

Switch the power on and leave the phone to initialise for a minute or two, the phone will start its bootup sequence and you should shortly see "Loading SIP".

  • If you have your network set up to hand out IP addresses (using DHCP), the phone will pick up an IP address and be ready for use.

To answer a call: pick up the handset, or use the Headset button to pick up the call on the headset (if any), or press the Speaker button for hands-free operation.

To switch between two calls on different lines: press the corresponding Line button to put the current caller on hold, and press the other Line button to speak to the other caller. The active line is shown by a steady green light, the line on hold is shown by a flashing red light.

To hold a call without speaking to another caller: press the Hold button, the caller will hear music, to return to the call simply press the Hold button again.

To make calls: enter the number using the keypad then pick up the handset to make the call. Press the Headset or Speaker button before dialling for a headset or hands-free call, respectively.

To end headset / hands-free calls: press the Headset or Speaker button again.

To make attended transfers: put the caller on hold by pressing the Trans key. Dial the destination number as usual and speak to the recipient. Then press the Attend soft key again to put the caller through and hang up your connection.

To pick up voicemails: dial *1 and enter the voicemail password when prompted (which you will find in the extension details in your VoIP control panel).

Advanced Configuration and Troubleshooting

Setting an IP Address

In order to manually set an IP address on the phone, press the Menu button then press the numeric 3 followed by 2 then enter the default password which is 456 and press the Enter soft key.

Next press 1, followed by 1, press the Tick to enter the DHCP Client menu and select Disable, followed by the OK soft key.

You will now be able to set the phones IP address, subnet mask, gateway and DNS servers by pressing the tick key against the relevant menu option.

Once the parameters have been set, the settings will need to be saved and the phone rebooted before configuration can continue by pressing the left arrow key, followed by Save.

Configuring the phone

(Only necessary for phones not purchased from Gradwell. Requires a PC on the same LAN/subnet as the phone!)

  1. Use the Menu button then press the numeric 2 key followed by 2, 2 and then 1 to find the phones IP address. Write it down temporarily for reference.
  2. Type the IP address into your browser like this: http://nnn.nnn.nnn.nnn (replace each nnn by as many digits as appear in the phone display, for example http://192.168.0.120, then use Enter. This shows you the phones web configuration pages.
  3. Click the SIP tab at the top.
  4. The important fields here are all provided in your welcome email or the control panel for the first (default) extension:
    • Outbound Proxy section: Address (the outbound proxy server, normally nat.gradwell.net)
    • Port (the outbound proxy port, normally 5082)                                          
    • Transport UDPonly
    • Server 1 section: Address (the registration server)
    • Port (the registration server port usually 5060)
    • Register 1
    • Click on Submit, the phone will reboot, you will then need to log back into the phone again by repeating Step 2 above
    • Click the Lines tab at the top.

The following fields need to be completed, and this information can also be found in your welcome email

Identification section

  • Display Name (your name or company name is normally entered here)
  • Address (This is your 7 digit extension number)
  • Auth User ID (This is usually the same as above, your 7 digit extension)
  • Auth Password (This is the password that has been defined for the extension)
  • Label (This is the same as the Auth User ID)
  • Type Private

Message Center Section

  • Subscriber (This is your 7 digit extension number)
  • Callback Mode Contact
  • Callback Contact *1

Click Submit and the phone should then reboot and register with the service provider.
